Privacy Policy

Version 1.1 · 26 October 2026

TL;DR

  • → An engine stores the enquiries sent through it and measures its visits, for the business that owns it.
  • → With a business's permission, its engine reads and manages its Google and Meta ad accounts, for that business only.
  • → Google data follows Google's Limited Use rules. Nothing is ever sold.
  • → Anyone can ask what we hold, and have it deleted.

01Who we are

The Enquire Engine is a platform that runs enquiry pages, dashboards and advertising for local businesses, each on its own engine (yourname.enquire.page or the business's own domain). It is operated by Koala Digital Pty Ltd (ABN 39 614 832 450, ACN 614 832 450), Australia, which is "we" in this policy.

Questions about privacy go to bach@koaladigital.com.au, or use the contact form.

02Who this covers

Three kinds of people: businesses that hold an Enquire Engine Licence (our customers); people who visit an engine's pages; and people who send an enquiry through one.

For visitors and enquiries, the business that owns the engine decides what it asks for and what it does with the replies; we run the platform for it. For our customers' own accounts, and for this website, we decide.

03Enquiries sent through an engine

The form asks for what the business needs to reply: usually a name, phone number, email, suburb and a message, sometimes photos or a preferred time. We store what is sent, show it to the business in its dashboard, and email it to the business.

We use these details only to deliver the enquiry to the business. The business uses them to reply and to quote or book the work.

04Visits and ad results

An engine measures its visits so the business can see what is working: the pages viewed, taps on the phone number, form sends, which ad or link a visit came from (including the ad click IDs and campaign tags in the link), and an approximate location from the network. A random ID kept in the browser ties one visitor's visits together; it is not a name. IP addresses are stored only as a one-way hash.

Where the business advertises on Google, the form shares a hashed (scrambled, not readable) copy of the enquirer's email and phone number with Google Ads, so Google can report which ads brought enquiries. Where the business uses the Meta Pixel, it tells Meta that a visit or an enquiry happened.

05A business's Google and Meta accounts

With the business's permission, its engine connects to its Google Ads account, Google Search Console, Google Business Profile, and its Meta (Facebook and Instagram) ad account, through the Enquire Engine app on Google and Meta.

We use that access to show the business its results in its dashboard and reports (ad spend, clicks, conversions, campaigns, budgets and their status, search listing and site health), and to create, change and pause its ads and budgets when the business asks us to. We keep each day's ad spend per channel and each connection's latest status; the rest is read when it is shown.

We do not use this data for anything else: not to advertise to anyone, not for other businesses, and we never sell it.

06Google user data at a glance

Accessed: only what the business approves on Google's consent screen. In Google Ads, its accounts, campaigns, ad groups, ads, keywords, budgets and their results (cost, impressions, clicks and conversions). In Search Console, the search performance and index status of its own sites. In Business Profile, its listing and the listing's results.

Used: to show the business those results in its dashboard and reports, and to create, change or pause its ads and budgets when it asks. Nothing else.

Stored: each day's ad spend per channel and each connection's latest status, in our database. The keys Google issues for the connection are kept separately and encrypted, never in the engines' pages or dashboards. Everything else is read from Google when it is shown.

Shared: with no one, except the service providers that run the platform for us (listed below), or where the law requires it. Never sold, and never used for advertising.

Deleted: when a business disconnects, the engine can no longer reach its Google accounts. We delete the Google data we hold within 30 days of a request, or when the Licence ends; see Data deletion.

07Google API Services: Limited Use

The Enquire Engine's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Information from Google APIs is used only to provide and improve the features the business sees in its engine. It is not used to serve advertising, not transferred or sold to others except as needed to run the engine or required by law, not read by people unless the business asks us to, for security, or as the law requires, and not used to develop, improve or train generalised AI or machine-learning models.

08Who else handles it

Service providers that run the platform for us, each only for that purpose: Vercel (hosting), Neon (the database), Resend (email), and Google and Meta (the businesses' own ad and search accounts, and measurement).

These services may store data outside Australia and New Zealand. We choose providers that protect it to a standard comparable with Australian and New Zealand privacy law.

09How long we keep it

Enquiries, visit records and ad results are kept while the business's Licence runs, so its dashboard can show its history. When a Licence ends, we export the business's data if it asks, then delete it.

A business can ask us to delete an enquiry, or all its data, at any time, and an enquirer can ask too: see Data deletion.

10Keeping it safe

Every page and connection uses HTTPS. Dashboards are behind access codes with limits on wrong attempts. The keys that open Google and Meta accounts are kept out of the engines' servers and are never shown in the dashboards. Access within our team is limited to the people who run the platform.

11Your choices

You can ask what we hold about you, ask us to correct it, or ask us to delete it: write to bach@koaladigital.com.au, or see Data deletion for the steps. If you sent an enquiry to a business, you can also ask that business directly.

A business can disconnect its Google or Meta accounts from the Enquire Engine at any time; Data deletion explains how.

We handle personal information in line with the Australian Privacy Principles and the New Zealand Privacy Act 2020. If you are not satisfied with our answer, you can contact the Office of the Australian Information Commissioner (oaic.gov.au) or New Zealand's Privacy Commissioner (privacy.org.nz).

12Changes

If this policy changes, the new version is published here with its date. Customers are told of any change that affects their data.

Using the Enquire Engine is also covered by our Terms of Service and, for a business with an engine, its Licence.
